Position Summary

We are seeking a detail-oriented and proactive HR Operations Specialist to support our HR Operations team to work onsite in our Santa Clara office. This role will assist in maintaining employee records, managing HR transactions, supporting payroll and benefits processes, and ensuring compliance with HR procedures and policies. We use ADP Workforce Now as our core HRIS and payroll system.

The ideal candidate will be a strong communicator, highly organized, and eager to grow within the HR field. Additionally, the HR Operations Specialist will handle employee inquiries related to payroll and HR procedures, ensuring that these critical aspects of employee management are executed efficiently.

Key Responsibilities

Generalist HR Support

  • Serve as a primary point of contact for HR-related questions and issues across multiple teams and departments.
  • Support managers and employees with guidance on performance management, policy interpretation, and workplace concerns.

Benefits Administration

  • Support the administration of employee benefits programs, including medical, dental, retirement, and wellness offerings.
  • Respond to employee benefit inquiries and assist with open enrollment and benefits communication.
  • Ensure accurate enrollment data and resolve benefits-related issues in coordination with payroll and accounting.

Leave of Absence and Accommodation Management

  • Assist with the administration of employee leaves of absence, including FMLA, disability, and parental leave, in accordance with applicable laws and company policy.
  • Track leave of absence requests and coordinate with payroll and HR to ensure accurate processing.
  • Assist with the coordination of workplace accommodations and maintain proper documentation.
  • Communicate regularly with employees and managers throughout the leave process.

Learning and Professional Development Support

  • Collaborate on the planning, coordination and help deliver learning and development activities, including staff training sessions and manager workshops.
  • Track participation and gather feedback to inform program improvement.
  • Support professional development initiatives aligned with organizational needs.

People Operations Process Improvement

  • Support the implementation and ongoing enhancements of HR systems and tools to improve efficiency and employee experience.
  • Participate in mapping and documenting existing HR processes across functional areas
  • Identify opportunities for streamlining, standardization, and automation.

Cross-Functional Collaboration and HR Data and Reporting

  • Collaborate with HR colleagues, accounting, operations, and other internal stakeholders to ensure coordinated employee support.
  • Maintain and update employee records in ADP Workforce Now and other HR systems.
  • Assist with processing HR transactions including new hires, terminations, promotions, and transfers.
  • Collaborate with Payroll and Benefits teams to ensure accurate and timely processing.
  • Serve as a backup for payroll processing and benefits administration.
  • Support visa and immigration documentation and tracking.
  • Assist in managing leave of absence tracking and documentation (FMLA, ADA, etc.).
  • Conduct research on salary benchmarks and compensation trends.
  • Help improve and document HR procedures to ensure efficiency and compliance.
  • Respond to employee inquiries regarding HR policies, benefits, and procedures.
  • Assist in audits and reporting for compliance and internal reviews.
Qualifications
  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • 2+ years of progressive HR experience, including employee relations, leave administration, and process development, preferably in a multi state - technical environment.
  • Excellent communication, judgment, and problem-solving skills.
  • Proficiency with ADP Workforce Now or similar HRIS platforms and Microsoft Office; familiarity with process documentation or project tracking tools is a plus.
  • Knowledge of U.S. employment law and HR compliance; experience supporting multiple states or jurisdictions is an advantage.
  • Strong attention to detail and organizational skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Comfort with ambiguity and a talent for managing shifting priorities while maintaining focus on what creates the most impact.
Preferred Skills
  • Knowledge of HR compliance requirements across multiple states.
  • Experience with visa processing or working with immigration counsel.
  • Collaborate on cross functional HR initiatives and provide support for ad hoc projects.
  • Process improvement or documentation experience.
  • Basic understanding of payroll, benefits, and employment law.
